It's News from TRI 

I spent the day around Boston Harbor last week. I started in Dorchester at the JFK Library and worked my way around to Charlestown which is where I took this image of the Boston skyline at dusk. I ended in Cambridge for some night shots of Boston and the Zakim bridge. Boston is such a great city with wonderful neighborhoods. The Harborwalk is an enormous asset to the city with 38 miles of walkways. When done, 47 miles will be available as a result of the waterfront revitalization program. Upgrading to a Solid State Drive

I have written before about the advantage of having a solid state hard drive (SSD) as your primary drive. It is lightning fast compared to a 7,200 rpm hard drive. Lightning! That helps you with boot up time and application load time. However, does it really make sense going through the trouble of adding the hard drive, reinstalling windows and all your programs? You can see details of all the steps here. It doesn't help with Internet speed or necessarily speed up applications. I submit that it is rarely a benefit to go through this process.

It is far better to buy a new computer with an SSD drive as its primary hard drive already installed. The new computer has been built specifically for the use of the SSD drive. Components have been selected and optimized to allow the computer to perform at its best. There are other factors that come into play which may not allow you to obtain your peak performance.

It is always far better to increase the RAM of your computer then install a new hard drive. RAM is what helps your computer think faster, react faster, process faster and jump from application to application faster. If you have 4gb now, double it to 8gb or better yet quadruple it to 16gb. And if you are specking out new computers, think 16gb as your norm.

Who doesn't run with multiple browser tabs in background along with Outlook and Excel or Word running as well. This all takes memory. Because we are multitasking more than ever before, add lots more memory and you will happily notice the difference throughout the day.

Online Home Buying Auction

Buying a home tends to be the biggest decision in the lifetime for most people. For many, it is a once in a lifetime experience. So how can the Internet complicate that process? Introducing Hubzu.com. There are more than 10,000 properties in the United States being auctioned off. More than 8,000 are single family homes. Most of these are being sold "as-is". The methodology of selling homes online has been out there a long time with Zillow, Realtor.com, MLS, Redfin, Trulia as well as all the independent realtors. Auctioning however is a different world altogether and the Internet adds a new dimension. Buyer beware.

If you spend a short time online, you will see that many people have had some bad experiences with Hubzu. You will not only see Hubzu, but also GoHoming and Altisource (all the same company). Looking closely at the comments, you will see that Hubzu is the web front for an advertising and negotiating game of real estate. Those that know how to play the game and have the benefit of experience, knowledge and patience, and are comfortable walking away can win in the end.

The game often seems to go like this... Someone makes a bid, it turns out to be the high bid, but the reserve was not met. The Seller counters with a much higher price. It is declined. They re-list the property for a price near but higher than the prior highest bid. This process might repeat itself three or four times. Each time, the reserve price is lowered. Eventually, and without apparent logic, the buyer may acquire the property. There is a robotic automation that is difficult to figure out.

We need to learn new things every day and we need to take on that responsibility seriously. It is why I don't begrudge my monthly payment I send to Lynda.com, a learning site now owned by LinkedIn. I have been using Lynda.com regularly since 2012. They provide excellent quality learning videos and webinars on new technology, photography, software, business, marketing and even leadership plus many other subjects.

One of the great things about Lynda.com is you can watch on your Android, iPhone or iPad and your computer or TV using your Roku, Chromecast, Apple TV or AirPlay. Brilliant. The best place to watch is when you are on a treadmill or an elliptical machine at the gym. They are excruciatingly boring machines and learning while you move is quite rewarding.

Most USB Drives are still non-solid-state, so they are mechanical and spin. It can be a pain in the neck because they wind down when not used which means they need to wind up to get to speed which takes time, sometimes a half minute.  Here are a couple of tips to keep those USB Drives spinning. From your Control Panel, go into the Device Manager. Check your Disk Drives and under Policies, select Better Performance.  Under Universal Serial Bus Controllers, select USB Root Hub and under Power Management, deselect Allow the computer to turn off this device to save power. Lastly, in Control Panel – Power Options, edit your plan settings and click Change advanced power options. Under Disk Drive – Turn off hard disk after setting, change to Never.

Retooling

Every year, I try to take some time to question and evaluate the past year so that I can retool for the next year. It isn't always obvious or planned. It isn't always a retreat or a conscious getaway that affords me the time to consider the changes that have taken place and those about to happen. Sometimes, it is tension in the back of the neck that tells me a shift is in the air. The tectonic plates of business are always in flux, sometimes change comes quietly, sometimes catastrophically.

The prime directive must always remain the same however. Companies that span lifetimes provide true value. In the eyes of the customer, the service provided must always be unique or superior. Like the great Jack Nicholson line in As Good as it Gets, "you make me want to be a better man"; no matter what you do, you want to help make your customer be a better company.

I have witnessed time and again, in those clients that I have known the longest that they always retool, re-imagine, re-evaluate. They may change procedures or service methods, but never deviate from the prime directive. They may modify the sales approach or adjust product lines but never stop providing a unique service. They may adopt new tools or forge new partnerships, but they always have their customers' needs in clear view.

With small businesses, profit is essential, but the prime directive is always the value of the service you provide to the person on the other end of the hand you shake, your customer.  It is principles like this that make capitalism work. Those who forget this are doomed to failure or dissolution.

Collective Conversation

In 2015, Microsoft took some big steps in telephony – but of course is stumbling. Microsoft is positioning Skype for Business to be the unified integrated communications solution for tomorrow. Where Cisco and Avaya have the market cornered today, Microsoft has its aim on unseating Cisco and is focused to deliver "a complete, enterprise-grade communications solution at global scale with Office 365". Yes, they have been working on this for a long time. After all, we implemented Lync (now Skype for Business) in February of 2013, almost three years ago. It has been difficult to implement in an environment requiring a switchboard operator and console. There has been no real change in the last three years, but it looks like that is about to change. Microsoft is going to begin providing its own voice calling plans as part of its Office 365. An E3 license with the  Skype for Business Cloud PBX add-on and a voice calling plan

The problem right now is that the technology is in flux, no one knows how to do anything. There is no experience. There is no Microsoft Support. The installations are not wide-spread. Not all users have the option to add this service to their Skype for Business application.  TRI is scheduled to attend the 8 hour Skype for Business Academy later this month in an effort to get up to speed on Microsoft's latest offering.

Why do we care?  Because unified communications is the future of collaboration and it currently lacks a real-time link between voice, video and data.  What unified communications will be to us in the future is a collection of collaborative tools all intertwined and connected on the same network. A group, any number more than one, will be able to have collective conversation using multiple communication devices and peripherals – screens, tablets, headphones and microphones.  I can't wait, it is long-overdue.

Is here to stay! If you think that subscription software is a fad, think again. Microsoft, Adobe, and all web-based software (SaaS) have converted to subscription services. Why?  It works! It allows them to manage their customers, manage updates, control software piracy, insure uniform usage which simplifies support and reduces support expense.

This is true for software firms that have millions of users. For small software houses, not so much, purchase and support is still the standard practice.

Have you ever wanted to send an email, but not until a certain date/time? A little know option in Outlook allows you to do just that. Delay Delivery gives you the ability to schedule the delivery of an email so that it is not delivered before a specific date and time.

In the same dialog box, you can also add voting buttons to an email so that it is voted on, accepted or rejected, yes, no or maybe or a custom . You can also request a delivery receipt. A delivery receipt tells you that an email message was delivered to the recipient's mailbox - not that it was read, just that it was delivered.

And lastly, using the Message - Tags menu, you can flag a message for action or follow-up reminding you to follow-up on the email on a certain date. This is very helpful if you use emails to manage work flow.

Windows 10

It is time to revisit Windows 10. It has had enough revisions and updates that it is worthwhile to begin making the change over. The only cautionary note at this moment is peripherals. Always the last to come around, some printers, scanners, USB attached devices, telephony and video peripherals may not have the drivers to function properly under Windows 10.

Computer minimum requirements are 1 ghz or faster processor, 1gb of RAM but 4gb would be better, 16gb of free hard disk space but experience tells me 80gb would be better, Microsoft DirectX 9 compatible graphics card, a Microsoft account and Internet access.

Microsoft is pushing the Windows 10 upgrade pretty hard these days and giving it away for free. I have purchased a new computer and converted another. Windows 10 is better than Windows 8 by far. Gone is the XBox interface, back is a slick version of the Windows 7 interface. Internet Explorer replaced by Microsoft Edge. A Settings App replaces the Control Panel. A notification center provides all the information you need expanding the notification area in the task-bar and now adds quiet hours so notifications don't bother you when you need to work. Alt-Tab will allow you to cycle through applications or you can use Task View to present all your running applications front and center. You can also add a second desktop.

File Explorer has some enhancements (finally). It has a Quick Access area that you can pin items to by right clicking on an item. You can access Settings from File Explorer. Unfortunately, you still can't add or remove items from the ribbon menu. But it's a wee bit more helpful.

One thing I really like about Windows 10 is the Email App and Calendar App that come as part of Windows. It means that I don't need to have Outlook open ALL the time. There is more, but isn't this enough?

Old Hard Drives Still Useful

Make use of your old hard disk drives before you throw them out! This device which sells for about $22 will let you pop in and pop out SATA hard disk drives as if they were external hard disk drives. Every time I upgrade a computer or buy a new one, I end up with another hard drive. Now I put them to use by backing up important files no matter if they are images, music, videos or documents. Then I mark the drive with the date and subject and store it away in a fire proof safe.

This little black holder plugs into an outlet and connects to your computer or laptop through a USB 3.0 connector. It is plug and play and all cables are provided. It can accept 2.5" or 3.5" SATA I/II/III drives.

You can insert any SATA drive up to 6TB. That's a lot of added space! If you want to connect more than one drive, this model is available for $35. It will even read a solid state Drive (SSD) if it has a SATA connector. If you have cloning software, you can clone your primary drive.

This device happily works with Windows 7, 8 or 10.

Sway is a new product that is part of the Office 365 suite of tools. It is a multimedia presentation tool that allows you to take snippets of media and present them in a reasonably slick way. It doesn't allow for input of mp3 music yet, but it does accommodate images, videos and online links. So you can create your own idea concepts and bring in images or websites or videos from the web. You can also import Word documents, Powerpoint presentations or PDF files. Judge for yourself.

Windows One Drive and file manager has always been a thorn in my side. If they would only improve the interface and enhance the capabilities, Dealing with files and folders should be easier. Oh well. What you will soon find with Windows 10 is One Drive is an integrated part of the Windows 10 Operating system. Combine that fact with the benefits of being an Office 365 E3 license holder, it is included with 1tb (1,000gb) of disk space. That is a lot of cloud storage. Consider its value now that it provides versioning history. You can use it to sync files from your local computer to the cloud, but you can also use it to access cloud files from other system you log into. For example, I have an E3 license and I have Office 365 on my laptop, office computer and home office computer plus my iPad. I can access my OneDrive files from any system. I can also access the files from a remote location using Office Web Applications. It takes some planning. If you have questions about OneDrive, let us know.

Periscope

Although most of what you will find on Periscope are self-serving, self-promoting Wanna-Be's or self-indulged teenagers, there can be a great purpose. The happenings in Paris on Friday night underscore the importance of instant mobile communications, video, photography before, during and after such an attack. We saw it here in Boston as it resulted in the speedy capture and ultimate sentencing of the Boston Marathon Bomber.

We now see the use of Periscope, the real-time video broadcasting Application, broadcasting video from the streets of Paris letting everyone know that people are out and about. They are carrying on. The image here was snipped from a Periscope live video at 9pm in Paris November 16th as it was broadcast by Lotfa Lamasaali who is a long-boarder who frequently broadcasts from Paris where his long-board club skates. You can message the videographer and he/she will be quick to respond in real time.

During this broadcast, I was able to text Lotfa messages and he responded. At any given time there were more than 100 viewers from all around the world watching and texting in various languages. Lotfa was kind enough to respond in English or in French.

The video stream is not without interruptions and bouts of poor quality, but it is good enough. You are there, in this case, on the streets of Paris with him.

The process of watching a Periscope broadcast like this and being able to communicate with the person on the other end is very communal, almost medicinal. It brings all of us closer together. During the few minutes I was online with Lotfa, people from many different countries logged in including Malta, Russia, Mexico, Italy, England, Indonesia, United States, Ukraine and Brazil and they all shared their comments, notes of sorrow and good wishes.

Darknet

I have been researching the Darknet (also known as Dark Web) for a few months and it seemed appropriate to share some of the information I have gathered considering the latest happenings in Paris. The Darknet is an overlay network that can only be accessed with specific software, configurations, or authorization, often using non-standard communications protocols and ports. It is like the world wide web, only with a layer of encryption and security on top that makes communications secure and anonymous. Anonymity is the primary objective. It is available to all.

We generally use what we might call the Surface Internet, but, there is this Darknet which holds thousands of websites that can't be indexed by search engines like Bing, Google, Yahoo, nor accessed via regular web browsers. A huge part of this underground web hosts a great number of users involved in illicit actions of drug dealing, selling weapons, child pornography, even murder.

Recently, a meth dealer operating on the Darknet was given a lighter sentence because he assisted authorities in providing information to federal prosecutors resulting in a Secret Service agent and agent of the DEA being charged for extortion, money laundering and other activities in connection with their involvement in the federal investigations.

As the Darknet permeates through the underworld, governments are gearing up. Good or bad, there will be an increase in software being used by governments to spy on the activities of certain individuals. Amnesty International recently released an antispyware tool, which scans devices for surveillance software belonging to governments. Internet security experts predict the number of cyber-attacks will go up in 2015 and beyond.

There are a handful of best practices that can protect average persons from a host of vulnerabilities likely to face them. First, ensure to keep your antivirus software always updated, never store sensitive personal info online or on e-mails, use strong passwords, never sign into accounts when using Wi-Fi networks that are public and exercise extreme caution when downloading attachments or clicking links.

Dynamic Data Driven Cataloging

Why? As an example, you can use this application to create a database of cars, with a group such as brand name, like Mazda, Subaru, Ford, etc. A sub group might be the model like Mazda 3 or Taurus. You create the fields and how the fields will be sequenced in the search tool. Fields might be the options available, like doors, 3, 4 or 5, then the trim, red, blue, black, silver, white, etc. Then the automobile options, like rear parking sensors, fog lights, paint protection, floor mats, wheel locks, etc., then you could add inventory locations like Wellesley, Norwood, Seekonk, etc. You can add images, VIN numbers, even pricing. It is all up to you. What to do with all this information? Use the search tool to ferret through the catalog by filtering through the available choices/options resulting in a final Product Spec Sheet.

This is a user-definable database "engine" that will allow you to catalog virtually any inventory list no matter how detailed or complex. Starting with a basic group and sub-group, you can add an unlimited list of definitions that apply to a product. It is completely customized to your specific needs. 

Within the Sub-Group entity, you create your own field names and specify the details that apply.  The design brings versatility and end-user customization. Without programming. 

With the data types of single-line and multi-line text, option-list, date, image and choice-options, you can create a catalog of just about anything you can think of along with all the possible options and permutations that exist for each product.

The system is a hosted SaaS (software as a service) web application which will work on any browser or mobile device.  The user not only has the ability to Create, Edit and Customize product lists, but also has the ability to dynamically search the catalog. The end result is a cataloging application that can grow as you grow. It can be used by customers or customer service representatives to produce product specification sheets.

A short lesson in monitors and video. Most of you probably know what 720p and 1080p mean for video. 1080p has 1,080 lines of resolution down the vertical axis. HD TV is 1080p. A 2k monitor refers to a monitor that has about 2,000 pixels across the horizontal axis and about 1080 down the vertical (resolution 1920x1080). A 4k monitor has about 4,000 pixels across the horizontal (3,840) or twice that of a 2k monitor and 2,160 pixels down the vertical 3840x2160. The clarity will be phenomenal on a 4k monitor.
